VP of Operations
Role
The VP of Operations (VP Ops) will help expand and lead the company’s operating systems — turning strategy into clean execution, scalable workflows, reliable report-ins, and a culture of accountability across the fast-moving media + technology business.
You’ll partner closely with founders/COO and functional owners across Content, Ops, CMS/Rights, Client Services, Accounting, and Tech/Product. Your job is to make execution visible, measurable, and scalable—without compromising momentum.
Responsibilities
1) Company operating system (cadence, planning, accountability)
Build and run the wider operating cadence: weekly execution reviews, KPI reviews, risk scans, and decision logs.
Establish clear planning and prioritization across departments (quarterly initiatives → monthly targets → weekly commitments).
Create an “action system” that closes loops: owners, due dates, dependencies, and follow-through.
Improve alignment between founder-level goals (e.g., growth targets) and frontline execution.
2) Workflow architecture + scale (SOPs, QA, throughput)
Map and standardize critical workflows across the business:
Client onboarding → deliverables readiness → recurring delivery execution
Monthly reporting cycles and exception handling
Content operations handoffs (planning → production → delivery → QA/QC → scheduling → optimization → reporting)
Define "Done” and QA standards for recurring deliverables.
Reduce rework and operational drag → better checklists, templates, documented & up-to-date SOPs.
Implement escalation paths and incident-style response for high-risk issues (deadlines, client-impacting errors, platform disruptions).
3) Systems, automation, and tooling (Notion-first + integrated stack)
Own the operational systems layer (Notion databases, templates, dashboards) and drive adoption.
Collaborate with Tech/CTO to connect systems and eliminate manual work where possible (e.g., LaunchPad ↔ Notion ↔ Drive ↔ analytics).
Identify automation opportunities with measurable ROI (time saved, reduced error rate, faster cycle times).
Ensure tools serve execution (not busywork): clean schemas, consistent naming, reliable reporting.
4) KPI design + operational intelligence (visibility that drives decisions)
Define and maintain the KPI framework for operational health and delivery performance.
Outline dashboards & weekly reporting that answer:
What is on track / at risk?
Where are we blocked (and why)?
What is the throughput/capacity reality?
What decisions are required (and by whom)?
Track operational metrics:
On-time delivery rate, cycle time, rework rate, QC pass rate
SLA adherence, backlog size/age, escalation volume
Adoption of SOPs/tools, automation time savings
5) Cross-functional leadership + capacity management
Clarify roles and ownership; reduce ambiguity across teams.
Support hiring plans, onboarding, and training systems so new team members ramp quickly.
Implement capacity planning and workload balancing; reduce bottlenecks and burnout.
Lead through influence: align stakeholders, facilitate decisions, and keep momentum.
6) Client delivery partnership (high trust, high reliability)
Ensure operational consistency for client-facing delivery: timelines → handoffs → communication standards.
Improve client experience by preventing surprises: early risk surfacing, clean status visibility, crisp exception comms.

Qualifications
Required
8–10+ years in operations, program management, or operational leadership; experience in a services/agency/media environment strong plus.
Demonstrated success building operating cadences, SOPs, and KPI-driven execution systems.
Strong tooling fluency (Notion proficiency is a major plus); comfort with integrated workflows across Drive/Slack/automation platforms.
Track record of cross-functional leadership (influence without authority).
Excellent written communication and ability to translate complexity into clear decisions.
Preferred
Experience in music / digital media / YouTube ecosystem.
Familiarity with IP / rights within operational environments (high accuracy, high consequence workflows).
Experience with Notion / project management tools.
Experience partnering with product teams to ship internal tooling and automations.

Compensation + benefits
Salary: $90,000 – $150,000+ / year (DOE)
Bonus: Eligible for annual bonus based on delivery/impact and performance
